Frequently Asked Questions by Faculty

Q: How do you I know what my reviewers will see when they  evaluate my portfolio?

A: Go to Completing Each Section and then Verifying Links and Layout which will give you instructions on how to view our share and view your portfolio or follow this link, http://ksbeyer.wixsite.com/facultyportfolio/verifying-links-layout

Q: Is there any way to change the order of the additional attachments in one of the sections?  I didn't realize when I added them that it wouldn't have a way to move them around?

A: You can remove it (the circle with the minus) and then re-add them. It doesn't actually delete the content just the item from your portfolio.  Once you have removed it you can go to Select again and then click Select Existing (instead of Create New) then you can select the section you already created.

Q:  I have saved my documentation files as a PDF; however, it doesn't display and gives me a 404 error when I have shared it with myself.

A:  Open the file in its original program (e.g. Word) and re-save it as a PDF.  Remove the original link then trying to re-uploading the file to your portfolio.  If that fails, send email to tk20-assessment-help@neiu.edu with the 'problem' file attached and where it belongs (which page and section) so the NEIU support team try to update this for you.  You will need to be logged out of Tk20 for the support team to update your files.

Q:  Why do some of my files say embedded viewing is possible and some say I can just download them when reviewing the files?

A: Tk20 has a predefined file size of 1MB file size and less can be viewed, but larger files need to be downloaded.  This setting cannot be changed.

Q:  Do I need to add my documentation files to the "Attach Documents" section within Tk20 if I already have them linked within the tables above?

A: No, linking within the tables is sufficient. 

Q:  Do I need to add "Additional Attachments" or can I put tables directly into the "Narrative" section of my portfolio?

A:  First and foremost, remember your DAC (department application of criteria) is your rubric for all you reviewers so remember to label things according to how it is written.  For example, in research some departments write as Category 1, Category 2, Category 3 instead of Referred Articles or Book Chapters.

Next, if you feel it is more reviewer friendly, you can incorporate everything in the narrative, but make sure to make distinct sections/tables.  

 

For example, in Service, if you just want to use the Narrative section make sure you write your narrative then insert table and link the appropriate files for Department Service then write more of your narrative then insert a table for College Service, etc.

Q: I need my evaluations for Spring, Summer, Fall 2016 for my portfolio, where do I get them?

A: You should of received them as attachments in email message from course-evalutions@neiu.edu on May 13 for Spring, Summer 1A on July 8, Summer I & II on August 22 and Fall on December 22.  The subject of the email is You can see your course evaluation results!

Q: Can you review my portfolio like you did in LiveText to make sure it is ready?

A:  With Tk20 there is not much that needs to reviewed from the technological perspective.  If you share your portfolio using the steps found on this page, http://ksbeyer.wixsite.com/facultyportfolio/verifying-links-layout, and click on every link to make sure it opens there is not much more I can do for you from the tech perspective.

Q:  I clicked on Submit too early and I still need to make changes to my portfolio, what do I do now?

A: Email tk20-assessment-help@neiu.edu and request for your portfolio to be opened to finish your portfolio.

Q:  What do I need to do to make sure my DPC gets access to my portfolio?

A: Make sure you click on the green Submit button and you are then finished with your part of the process.  By clicking on Submit the rest of the process is taken care for you.  You do not have any responsibility in sharing the portfolio as this the responsibility of the Center for Teaching and Learning.

Q:  My DPC Chairperson says, I need to make changes, how do I go about making those changes?

A: Please refer your DPC Chairperson to go through the process found on this page, http://ksbeyer.wixsite.com/facultyportfolio/info-for-dpcs and the section called Requested Change Process.

Q:  What is the due date for my portfolio?

A:  All retention faculty portfolios are due on Tuesday, January 10 @ 11:59 p.m.

Q:  I need to add a sub section to my portfolio, but I cannot find where to add it.

A:  To add sub section to your portfolio, click the Select button within the Additional Attachments to Create a New Section.  Refer to the PDF guide at the bottom of this website for more detailed instructions on page 14. 

Q:  I had to share some of my files using Google Drive; however, it is prompting my reviewers for a username and password, why?

A: You need to change your Google Drive Sharing Permissions to On - Anyone with the Link.  This option can be easily turned on by clicking on Advanced at the bottom of initial sharing screen.
